A calmer school attendance workflow, from first register to follow-up
A simple attendance process helps teachers, office staff and families work from the same up-to-date record.
Prepare the register before the bell
Attendance takes less time when each teacher opens the correct class and sees a clear list. Keep class membership current, decide who can correct a mark and make the expected start-of-day routine easy to find.
Record once, then review exceptions
- Teachers mark the students in their class as present or absent.
- The office checks missing registers and unusual totals before closing the morning attendance round.
- An authorised staff member corrects mistakes with a clear reason and a record of the change.
Make family follow-up deliberate
An absence notification is useful only when it reaches the right guardian and the school has a way to handle replies. Confirm guardian contact details, agree who monitors responses and keep the follow-up visible to the office.
If automated messaging is enabled, tell families what messages to expect and provide a school contact for corrections. A message should support the school’s safeguarding process, not replace it.
Close the loop at the end of the day
Review the day’s attendance by class, resolve duplicate or incomplete marks and note any follow-up still owned by a staff member. A concise daily report helps the next person continue without recounting the morning from memory.
Keep access and corrections controlled
Attendance records are personal information. Give each role only the access needed for its work, review permissions when staff responsibilities change, and avoid sharing class lists through personal messaging accounts. Keep a school-approved process for correcting records and responding to a family request.
